What information we collect

When you contact us or ask for a quote

Your name, organisation, email address, phone number, job title, and any details you give us about your training needs, such as your location, team size, equipment and preferred dates.

When we deliver training

To run a course and provide certificates, we may hold delegates’ names, job roles, attendance, assessment outcomes and certificate details. This information is usually provided to us by the delegate’s employer. If you are an employer sharing staff details with us, please make sure your staff know you’re doing so.

When you pay us

Invoicing details such as the organisation’s name, billing address and a contact for accounts. If you pay by card, payment is handled by our payment provider and we do not store full card details.

When you visit our website

Technical information such as your IP address, browser and device type, the pages you visit and how you reached our site. Some of this is collected using cookies (see below). Our contact forms are protected by Google reCAPTCHA, which checks that the form is being filled in by a person rather than an automated program.

How we use your information and our lawful basis

Data protection law requires us to have a lawful basis for using personal information. We rely on the following:

  • To respond to enquiries and provide quotes: our legitimate interests in running and growing our business, or taking steps at your request before entering into a contract.
  • To book and deliver training and issue certificates: performance of our contract with you or your organisation, and our legitimate interest in keeping accurate training records that we and our clients can rely on.
  • To invoice and keep financial records: to meet our legal obligations, including tax and accounting rules.
  • To keep our website secure and understand how it’s used: our legitimate interests in running a safe and useful website.
  • To send you updates about our training: our legitimate interests where you’re a business contact, or your consent where the law requires it. You can opt out at any time.

We will never sell your personal information.

Who we share your information with

We only share information when we need to, with:

  • Our website hosting provider, which stores our website and its data on servers in the UK
  • Our email and IT service providers
  • Google, for website analytics and form spam protection (reCAPTCHA)
  • Our accountants and professional advisers
  • Regulators, law enforcement or other authorities, where the law requires it

These organisations may only use your information to provide their service to us and must keep it secure.

International transfers

Some of our service providers, such as Google, may process information outside the UK, including in the United States. Where this happens, we rely on the safeguards recognised under UK data protection law, such as the UK’s data bridge with the US or approved contract terms, to make sure your information stays protected.

How long we keep your information

  • Enquiries that don’t lead to a booking: up to 2 years from our last contact
  • Training records and certificate details: 6 years after the course, so we can confirm training if asked
  • Financial and accounting records: 6 years, as required by law

After that, we securely delete or anonymise the information.

Cookies

Cookies are small files stored on your device when you visit a website. We use:

  • Essential cookies: needed for the website to work and to keep it secure, including reCAPTCHA on our forms.
  • Analytics cookies: Google Analytics, managed through Google Tag Manager, helps us see which pages are visited and how people use the site, so we can improve it. The information is used to produce statistics and is not used to identify you personally.

When you first visit our website, you can choose whether to allow analytics cookies, and you can change your choice at any time using the cookie settings link on the site. Our Cookie Policy has more detail. You can also block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on.

Your rights

You have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your information
  • Ask us to restrict how we use your information
  • Object to us using your information, including for direct marketing
  • Ask us to transfer your information to another organisation
  • Withdraw your consent at any time, where we rely on consent

Some of these rights only apply in certain circumstances. To make a request, contact us using the details above. We will respond within one month, and there is normally no charge.

Complaints

If you’re unhappy with how we’ve handled your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

Keeping your information secure

We use appropriate technical and organisational measures to protect your information, including secure hosting, encrypted connections (SSL), access controls, security monitoring and regular backups. No system is completely secure, but we work hard to protect the information you share with us.
